New Capability to Enhance Copilot Insights
Admins can enable a tenant-wide policy that allows Copilot (and Facilitator) to retain key insights from meetings beyond transcript retention periods. This enables Copilot to continue answering questions about past meetings even after transcripts expire. Admins can also configure how long this AI-generated meeting archive is stored.

Why This Matters
Microsoft will be generating an entirely new form of AI-derived artifact from meeting transcripts. This feature does more than summarize a conversation; it produces a distinct content layer with its own retention footprint. Historically, many organizations have used retention policies to govern the lifecycle of meeting recordings, transcripts, chat messages, and related collaboration artifacts. This roadmap item introduces a new scenario where AI-derived content, in the form of .meeting files, may persist longer than the source meeting artifact from which it was generated.
The feature, when released, will be enabled by default. Organizations that do not take deliberate administrative action may find themselves accumulating this content before governance frameworks are in place to manage it.
Archive meeting file generation requires three conditions to be met simultaneously: a meeting transcript must be created and saved, at least one Copilot-licensed participant must be invited, and the meeting option “Allow Copilot and Facilitator” must be set to “During and after the meeting.”
However, archive files will not be generated in all scenarios. Meetings that use sensitivity labels with encryption, end-to-end encrypted meetings, and meetings with restricted copying or forwarding are excluded from archive generation regardless of whether the above conditions are met.
Generated meeting files are stored in SharePoint Embedded containers that are not directly associated with individual users, and their retention will be governed by a dedicated policy within the Teams Admin Meeting policies page. This policy is expected to become available for adjustment in August or September 2026 and will default to five years. The policy may need to be reconfigured to align with organizational data management requirements. As a result, these files may be retained well beyond the natural lifecycle of other meeting artifacts.
Key Risks Organizations Should Consider
Retention Schedule Alignment Challenges: Many retention schedules are built around source systems and content types, such as Teams chats, transcripts, recordings, documents, and emails. This feature will introduce an additional content layer with its own retention settings. For example, if a meeting transcript is retained for 90 days but the AI meeting archive file is retained for multiple years, this creates retention inconsistencies. Governance teams will need to determine best practices for the AI meeting archive or, indeed, whether the files should be retained at all.
Microsoft indicates that administrators can configure how long the AI-generated archive is retained, meaning organizations will need to make formal governance decisions around default retention periods, exceptions for regulated business units, executive meeting handling, and project or matter-specific requirements. Organizations that simply accept default settings may inadvertently create longer retention periods than intended, underscoring the need for deliberate policy design rather than passive reliance on out-of-the-box configurations.
Preservation Complexities: Legal hold strategies often focus on preserving source content (e.g., a Custodial mailbox, personal drive, or collaborative locations), but this new feature may require organizations to consider preserving not only the transcript and recording, but a SharePoint Embedded location that serves as the storage location for the AI meeting archives. Legal teams should verify how AI-generated meeting archives interact with Purview retention policies, retention labels, and legal holds before widespread deployment.
Expanded Discovery Scope: One of the first questions litigation teams will ask is whether the AI-generated meeting archive is discoverable, and the answer is complicated by the fact that SharePoint Embedded containers are not automatically identified for preservation when a custodian is added to the matter. If these archives are preserved and can be searched by Copilot after transcript expiration, they may become a potentially relevant source of ESI, but organizations will first have to know that .meeting files exist and develop methods to identify subsets of those files by participant. From there, organizations will grapple with whether the archives are searchable through Purview eDiscovery, how they are collected, what metadata is available, and whether they can be exported and reviewed.

This enhancement has the potential to deliver significant value, but it also introduces meaningful governance considerations that should not be overlooked. Organizations should closely monitor the anticipated release timeline and engage legal, compliance, records management, information governance, and IT stakeholders early to determine whether the feature aligns with their retention, preservation, and risk management objectives. For some organizations, the prudent approach may be to delay or disable the capability until appropriate policies, controls, and ownership responsibilities have been established.
More broadly, this feature underscores a growing challenge in the Copilot era: balancing the benefits of persistent organizational knowledge against the principles of data minimization. AI-generated meeting archives can improve knowledge retention, reduce the loss of institutional memory, and enable more valuable Copilot experiences over time. However, they may also expand the universe of discoverable information, introduce additional retention and legal hold considerations, and create new questions around data lifecycle management and defensibility. As Microsoft continues to extend AI-generated content into long-term knowledge repositories, organizations should carefully evaluate how these archives fit within their existing retention, eDiscovery, and compliance frameworks.
